What is RetailerOS?
RetailerOS is retail management software built specifically for Indian consumer electronics retail. It covers every category sold by serial number — mobile phones, home appliances, air conditioners, refrigerators, televisions, laptops and IT — combining GST billing, inventory, serial and IMEI tracking, warranty claims, brand scheme reconciliation, service job cards, customer khaata and WhatsApp receipts into a single system of 26 modules. It is a product of Khosha Systems and is used at the counter rather than in a back office.
Who is RetailerOS for?
Independent consumer electronics retailers in India — mobile shops, appliance and AC dealers, TV and IT stores — from a single counter running 50 bills a month up to multi-city chains running several stores. It is designed for the shop owner and the counter staff, not for an IT department.
What does RetailerOS replace?
It replaces the paper register, the separate Excel sheet used for brand scheme reconciliation, a general accounting tool used for billing, and the manual WhatsApp messages staff send customers for old bills. All of those become one system where every screen agrees automatically.
How is RetailerOS different from Tally or Vyapar?
Tally is accounting software: excellent for your books and GST returns, but IMEI or serial tracking needs a paid third-party add-on, and it has no counter workflow for brand schemes, repairs or warranty claims. Vyapar is good-value billing software that does track IMEI numbers and warranty periods, and works offline. RetailerOS is built for running an electronics retail operation: it reconciles brand scheme cashback, files warranty claims through to settlement, runs repair job cards from intake to handover, and manages several stores from one login with per-store stock, staff and cash. Is RetailerOS built in India?
Yes. It is built in India for Indian retail. Every screen carries Hindi labels, with Marathi, Gujarati and Tamil also supported. Invoices are GST-ready, IMEI tracking is built in, and brand-scheme reconciliation is handled the way Indian retailers actually claim it.

How much does RetailerOS cost?
There are three plans. Free is Rs 0 forever. Shop is Rs 3,999 per month for one store. Chain is Rs 7,499 per month for the first store plus Rs 3,499 per month for each additional store, with a minimum of two stores, so a two-store chain is Rs 10,998 per month. Is there a free plan?
Yes. Free is genuinely free forever with no credit card and no trial timer. It covers 50 bills a month, 3 staff logins and 1 store, and includes 7 modules: Sales Desk, Invoices, Inventory and Clients plus the dashboard and settings. Customer records and IMEI history are unlimited and kept forever, even on Free.
What is included in the Shop plan?
Shop is Rs 3,999 per month and covers 750 bills a month, 3 staff logins and 1 store. It gives you 20 of the 26 modules, adding IMEI Tracker, Schemes, Repairs, Claims, Cash Register, Expenses, Purchase Orders, Inquiries, Pre-booking, Reports, Staff, Finance and Pricing, plus 200 WhatsApp messages a month.
What is included in the Chain plan?
Chain is Rs 7,499 per month for the first store plus Rs 3,499 per month for each additional store, with a minimum of two stores, so a two-store chain is Rs 10,998 per month. It includes unlimited bills and 3 staff logins per store, and unlocks all 26 modules, adding Stores, Marketing, Marketplace, Integrations, Automation and Promoters, plus 2,000 WhatsApp messages a month, REST API access and priority 12-hour support with phone callback.
Do I need an enterprise plan for a large chain?
No. Chain scales to any number of stores at Rs 3,499 per additional store per month, so there is no separate enterprise tier to buy. If you need a custom rollout across cities, a dedicated WhatsApp number, on-site training or SSO, contact us and we will scope it with you.
Is there a free trial?
Shop and Chain both include a 14-day trial. After 14 days the selected plan begins billing. You can cancel any time, there is no charge if you cancel before day 14, and the account drops to Free with all data intact.
Do the prices include GST?
No. All listed prices exclude 18% GST as required by Indian regulations. Every invoice shows the base price and the GST separately, ready to file.
Is there a discount for paying quarterly or annually?
Yes. Quarterly billing saves 5% and annual billing saves 15%. Monthly billing carries no discount. On Chain, annual billing works out to Rs 6,374 per month and saves Rs 13,500 a year.
What happens if I exceed my plan's bill limit?
Billing is never blocked. On Shop you can add 250-bill packs at Rs 499 each, which suits festival months without moving you to a permanent upgrade. Chain has unlimited bills, so the question does not arise.
Can I cancel any time?
Yes, from your account settings at any time. The plan stays active until the end of the billing period and there is no charge for the next cycle.
Can I switch plans in the middle of a billing cycle?
Upgrades take effect immediately and the difference is pro-rated. Downgrades take effect at the start of the next billing period.
Do you offer refunds?
Quarterly and annual plans receive a pro-rated refund within the first 30 days, no questions asked. Email from your registered address to request one.
What add-ons are available?
Extra store on Chain at Rs 3,499 per month, extra staff login at Rs 499 per month, only needed if one store wants more than its included three, a 250-bill pack at Rs 499, a 500-message WhatsApp pack at Rs 249, 10 GB of extra storage at Rs 149 per month, a dedicated WhatsApp Business number at Rs 1,499 per month, and a done-for-you claim recovery service at Rs 2,499 per month.
Running multiple stores
Can RetailerOS manage multiple stores?
Yes. RetailerOS runs multiple stores from one owner login. Each location keeps its own stock, staff, cash register and invoice numbering, while the owner gets a single view across all of them. On Chain the first store is Rs 7,499 per month and each additional store Rs 3,499 per month, with a minimum of two stores.
How many stores can I manage on one account?
Free and Shop each cover one store. Chain needs a minimum of two stores: the first store is Rs 7,499 per month and every additional store is Rs 3,499 per month. There is no cap on how many stores a Chain account can run.
Do I need a separate login for each store?
No. One owner login reaches every location. Staff get their own accounts with roles configured per store, so a counter assistant sees only what they need to.
Can each store have its own invoice numbering?
Yes. Taxes, invoice numbering series and print templates are store-level settings, so each location issues its own clean GST-compliant series.
Can I approve a discount at another store remotely?
Yes. Dynamic pricing rules protect your margin, and staff at any counter can raise a discount request for the owner to approve remotely.
Can I search for a handset sold by a different branch?
Cross-store IMEI search comes with the Chain plan. On Free and Shop, IMEI chain-of-custody tracking works fully within your single store.
IMEI tracking and warranty claims
Does RetailerOS track IMEI numbers?
Yes. Serial and IMEI tracking is native, not an add-on. Every unit is tracked individually — a handset by IMEI, an air conditioner, refrigerator, television or laptop by serial number — with full chain of custody from purchase through to warranty, scannable directly during billing.
Can I look up which customer bought a specific handset?
Yes. Searching an IMEI returns that device's full chain of custody, including the sale, so you can trace a handset back to the customer who bought it.
Does RetailerOS handle brand warranty claims?
Yes. The Claims module is a workflow tracker that manages brand warranty claims from filing through to settlement. Warranty claims are included from the Shop plan upwards.
Brand schemes and offers
Does RetailerOS handle Vivo, Samsung and Oppo schemes?
Yes. The Schemes module is a brand and bank offer calculator that surfaces applicable discounts and EMIs during billing, and keeps cashback claims queued and ready for reconciliation — replacing the separate spreadsheet most retailers reconcile by hand.
Can it calculate EMI and bank offers at the counter?
Yes. The Schemes module surfaces applicable brand discounts, bank offers and EMI options while the bill is being created, so staff do not have to look them up separately.
Billing, GST and WhatsApp
Does RetailerOS produce GST-compliant invoices?
Yes, on every plan including the free one. The Invoices module generates GST-compliant tax invoices, credit notes and proformas, and each invoice shows base price and GST separately, ready to file.
Can I send bills to customers on WhatsApp?
Yes. Customers receive their receipt on WhatsApp the moment they pay. Shop includes 200 messages a month and Chain includes 2,000. Extra 500-message packs cost Rs 249, and a dedicated WhatsApp Business number is Rs 1,499 a month.
How fast is billing at the counter?
The Sales Desk is built for roughly 30-second bills. Every keystroke is optimised so the fastest billing hand does not have to leave the keyboard.
Does RetailerOS track customer credit or khaata?
Yes. The Clients (CRM) module maintains customer directories, purchase history and credit tracking, replacing the paper khaata register with a running ledger per customer.
Repairs and service
Does RetailerOS handle repair jobs?
Yes. The Repairs module manages job cards from device intake through diagnosis and repair to customer delivery, so a service job never sits untracked on the bench.
Setup, migration and support
How long does it take to set up RetailerOS?
About ten minutes, with no IT team required. There is a guided store setup wizard, and multi-store rollouts are guided too.
Can I import my data from Tally, Vyapar or a spreadsheet?
Yes. There is a step-by-step migration guide available as a free PDF on the Resources page, and spreadsheet imports are supported. On the Chain plan the migration is handled for you.
Does RetailerOS work in Hindi?
Yes. Every screen carries Hindi labels, and Marathi, Gujarati and Tamil are also supported. Each staff member can switch language in their own profile.
Does it work on a slow internet connection?
Yes. RetailerOS is built to run on slow 2G connections without complaint, which matters for counters in areas with poor connectivity.
What support and training do you provide?
Free users get an in-app knowledge base and community forum. Shop gets email support with a 48-hour SLA plus in-app chat. Chain gets priority 12-hour email, WhatsApp and phone callback, with onboarding help.
Marketplace and integrations
What is the RetailerOS B2B Marketplace?
The Marketplace is a two-sided hub: a B2B trading board where retailers buy and sell stock with other dealers, and a consumer-facing storefront. Marketplace access comes with the Chain plan.
Does RetailerOS have an API?
Yes. Chain includes REST API access. If you need higher limits or webhooks for a larger chain, talk to us.
What other tools does RetailerOS connect to?
The Integrations module connects Busy, WATI, delivery partners and other third-party tools.
